Records
Records Management
Public and private records are managed by the Recorder Department. The City Recorder:
- Serves ex officio as clerk of the City Council and attends all of its
meetings and keeps an accurate record of its proceedings. Such records include developing the meeting agendas, recording and transcribing accurate minutes of the meetings, and ensuring proper public meeting notices are published in accordance with state statute.
- Acts as the custodian of records and oversees the proper classification, filing, retrieval, storage, destruction and archiving of
all City records as required by state statute.
- Acts as the clerk for the Planning Commission and is
responsible for the accurate recording and transcribing of the Commission’s minutes.
- Acts as the Elections Officer.
- Attests and fixes a seal upon all legal documents of the City.
- Performs official notarial acts within the City to include acknowledgments, copy
certifications, jurats, and oaths or affirmations; administers oaths to City officials.
- Maintains accurate records of transactions relating to real property owned by the City, and
records and preserves real property deeds and related abstracts of title and title insurance
relating to those transactions.
- Coordinates department activities with those of other departments and outside agencies
and organizations; provides staff assistance to the Mayor and City Council; prepares and
presents staff reports, the City newsletter, and other necessary correspondence.
- Selects department professional, technical, and clerical staff; provides
training; motivates and evaluates staff.
